Connect Brother Label Printer via Bluetooth for Badge Printing

This guide helps administrators connect a Brother Bluetooth Label Printer (for example, QL‑820NWB) to the iPad Visitor Management Kiosk for badge printing.

Before You Begin

Make sure the following are ready:

  • A compatible Brother Label Printer (Bluetooth supported - QL-XX"NWB" Series, Printer is powered ON & Bluetooth is enabled)

  • Label roll loaded correctly in the printer

  • Printer placed within Bluetooth range of the iPad

  • You have admin access to the kiosk (To trigger the Maintenance Mode)

  • Printer is paired with iPad through Bluetooth Settings in iPad

Step 1: Pair the Brother Printer with the iPad (iOS Bluetooth)

Before configuring the printer inside the Visitor Management app, the Brother printer must be paired at the iPad system level.

  • On the iPad, open Settings → Bluetooth.

  • Ensure Bluetooth is ON.

  • Power on the Brother printer and place it in Bluetooth pairing mode.

  • Under My Devices or Other Devices, locate your printer (for example: QL-820NWB**).

  • Tap the printer name to pair.

  • Once paired, the printer will show a status of Connected.

Step 2: Open Maintenance Mode on the Kiosk

Access to Maintenance Mode is protected using the iPad’s built-in authentication to ensure only authorized users can make configuration changes.

  • On the Welcome screen, tap three times on right-top corner for admin trigger.

  • A confirmation dialog appears: ā€œEnable Maintenance Mode?ā€

  • Tap Enable.

  • The iPad will prompt for device authentication using one of the following methods:

    • Face ID (if enabled on the iPad)

    • Touch ID (if enabled on the iPad)

    • iPad Passcode / PIN

  • Successfully authenticate to enter Maintenance Mode.

Security note: Maintenance Mode can only be accessed by users who are authorized on the iPad itself. This prevents visitors or unauthorized staff from accessing printer setup or other admin configurations.

Once authenticated, Maintenance Mode temporarily disables visitor check‑in and unlocks admin configuration options.

Step 3: Go to Printer Setup

  • In Maintenance Mode, tap Printer Setup.

  • The printer setup wizard will open with a 3‑step flow:

    • Enable Bluetooth

    • Search Printer

    • Setup Printer

Step 4: Enable Bluetooth

  • On the Enable Bluetooth screen, tap Grant & Search.

  • If prompted by iOS, allow Bluetooth permissions.

If Bluetooth is disabled at the system level:

  • The iPad will open Settings → Bluetooth.

  • Turn Bluetooth ON.

  • Ensure the Brother printer appears under My Devices or is discoverable & Bluetooth Access is granted in App permissions.

Once Bluetooth is enabled, return to the Visitor Management app.

Step 5: Search for the Printer

  • The app automatically scans for nearby Brother printers.

  • Under Search Results, select your printer (for example: Brother QL‑820NWB).

  • If no printer appears, tap Scan Again and ensure:

    • Printer is powered ON & pre-paired to iPad through Bluetooth Settings.

    • Printer is in Bluetooth pairing mode

    • Printer is close to the iPad

Step 6: Name the Printer (Final Setup)

  • After selecting the printer, the Setup Printer screen appears.

  • Enter a clear, recognizable name for the printer (for example: Lobby Desk Printer or Entry Gate Printer).

    • This name helps administrators identify the printer later, especially if multiple printers are configured.

  • Tap Save to complete the setup.

  • It will create a record in the Web App -> Visitor Management -> Device -> Printer and link the iPad with the Printer.

The printer is now fully paired, named, and configured for badge printing inside the app.

Verifying the Setup

To confirm everything is working:

  • Perform a test visitor check‑in

  • Ensure the badge prints automatically

  • Verify badge layout, orientation, and print quality

If printing does not start, re‑enter Maintenance Mode and confirm the printer connection.
