How do user statuses (active vs. suspended) affect access and privileges, and how can roles be managed?

Understanding User Statuses and Managing Roles in Genea

Genea provides robust tools for managing user roles and access permissions. This article explains the differences between 'active' and 'suspended' user statuses, their implications on access and privileges, and how to manage or restrict user roles effectively.

Understanding User Statuses: Active vs. Suspended

When a user’s access is suspended, their ability to access all locations within the system is temporarily revoked. This includes disabling keys, such as mobile credentials, which will no longer grant access. However, suspending a user does not permanently remove or delete their profile from the system. The user’s details and permissions remain saved, allowing administrators to restore access by lifting the suspension. To permanently make a user inactive, their profile must be deleted.

Implications of User Statuses on Access and Privileges

  • Suspended Status: A user with a suspended status cannot log in to the system or use any keys to access locations. Their key is marked as inactive and cannot be used until reactivated by an administrator.

  • Active Status: If a user’s profile remains active but their access is suspended, they will not have physical access to locations. However, they may still have access to the system portal unless further restrictions are applied.

Steps to Restrict or Modify User Access

To further restrict a user’s access or modify their role, follow these steps:

  1. Navigate to Location Access in the Genea system.

  2. Select Actions and then click Edit.

  3. Update the user’s role to a more restrictive option, such as 'User.'

  4. Click Save to apply the changes.

Changing a user’s role to 'User' will prevent them from making changes to the system or viewing sensitive details. This is an effective way to limit their access while keeping their profile active.

FAQs on User Role Management

Why does a user still appear as active even though their access is suspended?

A suspended status only revokes access temporarily and does not delete the user’s profile. To make a user inactive, their profile must be deleted.

Can a suspended user log in or use admin privileges?

No, a suspended user cannot log in or use any keys for access. Their key is marked as inactive until reactivated by an administrator.

How can I restrict a user’s system portal access further?

You can update the user’s role to 'User' to limit their ability to make changes or view sensitive details. This can be done through the Location Access settings. By understanding and managing user statuses and roles effectively, administrators can ensure secure and efficient access control within the Genea system.
