Genea’s new Bulk User Import via CSV feature makes it faster and easier to onboard and manage users at scale. Rather than creating users individually, you can now upload a CSV file directly through the Genea web platform to import or update multiple users in one step.
Where to Find It
The Bulk User Import option is available in the “All Users” section under the “More” menu.
Note: This feature is available for:
Building Portals
Tenant Portals (Non-UG)
Enterprise Portals (Non-UG)
What You Can Do With It
With the CSV upload tool, you can:
Create new users
Update existing users
Assign access groups and building access groups
Configure card credentials
Assign PINs
Assign elevator-related fields
Map custom attributes
Track imports using tags
Handle up to 10,000 records in a single file
Preparing Your CSV File
Click “Download Template” to get a sample CSV file format.
The standard supported fields include:
Category | Fields |
User Info | Full Name, Email, Phone Number, Department, Cost Center, Employee Number, Home Location |
Card | Card Number, Card Format, Card Badge Type, Facility Code |
Access | Location, Access Groups, Role, PIN |
Other | Custom Attributes defined in your system |
File Requirements
File must be in
.csvformat.File size and number of users must not exceed system limits
Limit: 10,000 records or 10MB (shown in upload dialog).
Mandatory fields must be filled correctly, or the upload will fail with an error message
Uploading Your File
Go to All Users → More → Import Users
Click Upload File
Select your
.csvfileThe system validates:
File type
File size
Record count
CSV structure
Map CSV columns to Genea attributes
Configure update behavior
Review and start import
Mapping Attributes
After upload, the system automatically extracts CSV headers and allows administrators to map them to Genea attributes.
1. Mandatory Fields
The following field is required:
Full Name
Location
Role
If mandatory fields are not mapped, the system displays a validation message before proceeding.
2. Unique Identifier
If you want to update existing users, select a Unique Identifier during mapping.
Only one unique identifier can be selected per import.
1. Supported Unique Identifiers
UUID
Email
External ID
Name + Tenant (Available in Building Portal only)
Employee Number + Tenant (Available in Building Portal only)
2. Unique Identifier Behavior
If Identifier Matches Existing User - The existing user is updated.
If Identifier Does Not Exist - A new user is created.
If No Identifier Is Selected - All records are treated as new users.
If Identifier Value Is Blank - That specific row is treated as a new user.
Duplicate Identifiers Within CSV - Duplicate row values are merged.
3. Multi-Column Mapping Support
The following attributes support mapping from multiple CSV columns:
Access Groups
Building Access Groups (BAGs)
Values from all selected columns are merged during processing.
4. Update Behaviour
During mapping, administrators can define how imported values should update existing users.
Supported Update Behavior:

Override: Replaces existing values with imported values.
Merge: Adds imported values while preserving existing assignments.
Note: If a user already has a PIN assigned then
The existing PIN is preserved.
CSV PIN values will not override the existing PIN.
Import Tagging
Before starting the import:
A default tag is automatically generated
Administrators can edit the tag before proceeding
The tag is:
Stored in import history
Included in downloadable reports
Available for filtering in the All Users page
Duplicate tags are not allowed for the same customer.
Import Progress
Once the import starts:
Progress appears directly on the All Users page
Administrators can monitor import status in real time
Only one import process is allowed per customer at any given time.
Import Summary
Once the import is completed, administrators can view a summary showing:
Users Created
Users Updated
Users with Errors
Unchanged Users
Administrators can also download a detailed CSV report containing:
Row-level results
Validation errors
Failure reasons
Common Errors & Fixes

Record Count Exceeded | Number of users exceeds max allowed | Split into smaller batches |
