User Import Via .csv

Create and update users using a CSV file in User Group-enabled portals.

Easily add or update users, assign access groups, and configure cards in bulk.

Genea’s new Bulk User Import via CSV feature makes it faster and easier to onboard and manage users at scale. Rather than creating users individually, you can now upload a CSV file directly through the Genea web platform to import or update multiple users in one step.


Where to Find It

The Bulk User Import option is available in the “All Users” section under the “More” menu.

🔒 This feature is available for User Group-enabled portals only.


What You Can Do With It

With the CSV upload tool, you can:

  • Create new users

  • Update existing users’ attributes

  • Assign admin-managed user groups

  • Assign card credentials and configure badge settings

  • Set custom tags for tracking imports


Preparing Your CSV File

Click “Download Template” to get a sample CSV file format.

The standard supported fields include:

  • Full Name

  • Email

  • Phone Number

  • Department

  • Cost Center

  • Employee Number

  • Home Location

  • Card Number

  • Any custom attributes defined in your system

Note:

  • File must be in .csv format.

  • File size and number of users must not exceed system limits

    Limit: 5,000 users or 5MB (shown in upload dialog).

  • Mandatory fields must be filled correctly, or the upload will fail with an error message.


Uploading Your File

  1. Go to All Users > More > Import Users

  2. Click Upload File and select your CSV.

  3. System automatically checks file type, record count, and format.

  4. Map your CSV columns to Genea attributes.

    • All required fields must be mapped.

    • If you want to update existing users, select Unique Identifier in this step.

    • If Card Number is mapped, a Card Configuration step will appear:

      • Select Card Format (Optional)

      • Select Badge Type

  5. (Optional) Assign admin-managed User Groups

  6. A default tag is generated (e.g., Import_2025-07-06_John), which can be edited.


Import Summary

Once the import is complete, you’ll see a summary showing:

  • Users Created

  • Users Updated

  • Users with Errors (with details)

You can download a detailed report of the results for your records.
