Document Sign-in During Visitor Check-in

With Genea Visitor Management, you can configure required legal documents for each visitor check-in flow and allow visitors to digitally sign them during check-in.

Enable Document Signing for a Visitor Type

To enable document signing during visitor check-in:

  1. Navigate to Visitor Management → Visitor Types

  2. Open the required Visitor Type

  3. Select the Document tab

  4. Toggle Enable Document Signing

Add Documents to the Check-in Flow

You can assign multiple documents to a single visitor check-in flow based on your requirements.

Documents can be added in either of the following ways:

  • Import documents from the Document Repository

  • Publish and assign documents directly from the Document Repository

Import Documents from the Document Repository

  1. Click Import

  2. Review the list of available documents

  3. Select one or more documents

  4. Click Import to add them to the visitor type

Once successfully imported, the documents will appear in the Document tab.

Manage Document Settings

After importing documents, administrators can configure the following per document:

Document Order

  • Reorder documents as needed to control the signing sequence during check-in

Mandatory or Optional Signing

  • Mandatory: Visitors must sign the document to complete check-in

    • Failure to sign will result in check-in denial

  • Optional: Visitors may proceed without signing

  • Disabled: The document will not appear during check-in

    • If no longer required, it can be removed from the visitor type

A disabled document will not be shown during the check-in process..

Document Preview

  • Clicking the Eye (Preview) icon allows administrators to preview documents

  • The preview shows a combined simulation of all assigned documents as they appear in the iPad check-in experience

Per-Document Signing Policies

Each document has individual signing policies that can be configured at the Visitor Type level.

Returning Visitor Re-signing Options

Depending on your company policy, visitors may not need to sign the same document on every visit.

You can choose from the following options:

1. Re-sign After a Set Number of Days

  • Enable Returning visitors must re-sign the document

  • Select the number of days

  • Visitors will only be prompted to re-sign after the configured period

2. Re-sign on Every Visit

  • Select Re-sign for every visit

  • Visitors will be required to sign the document during each visit

Editing and Managing Documents

  • Editing, renaming, or deleting documents is only possible through the Document Repository

  • Clicking Edit Document redirects you to the Document Repository

  • Any changes made to a document template will be applied to all visitor types using that document

Use caution when modifying shared documents, as updates affect every visitor type where the document is assigned.

Visitor Type–Specific Settings

The following settings are configurable per document, per visitor type:

  • Mandatory or optional status

  • Re-signing rules for returning visitors

  • Re-sign duration (number of days)

This allows flexibility to tailor document requirements for different visitor flows.

Document Limit

  • Administrators can assign up to 10 documents per visitor type check-in flow
