Managing Users in the OD HVAC Portal

This guide will provide an overview of the various roles available for user assignment within Genea's On Demand HVAC Portal.

As a Property Manager, or Tenant Manager, you can add, delete, edit, and deactivate users within the Genea Portal.

You can also manage users within Genea's HVAC app, find details on that here.

Under the menu to the left of the Portal, click Users.

To ADD a new user, click + Create:

Fill in the required fields, as notated by the red asterisks (*):

Next, assign their Role:

The drop-down to the left is where you will determine the access level of the new user.

Lease Only Tenant User - User will only be granted permission to place a request during tenant-specific lease hours.

Lights Only Tenant User - User will only be able to place requests for lighting, where applicable.

Restricted Tenant User - User will only be able to place a request within tenant-specific parameters (ex: maximum duration of 2 hours, for ONLY this tenant role).

Tenant Manager - User will be able place requests for service without limitations, manage users, and view tenant usage/invoice reports.

Tenant User - User will be able to place requests for service without limitations.

The drop-down in the center is where you will select the tenant/suite assignment for the user.

The drop-down to the right is where you will determine the areas the user will have access to place HVAC requests.

Tenant Role - User will be added to ALL floors/suites/zones within the tenant-specific profile.

Lease Role - User will be added to ONLY the floor/lease/suite selected in the center drop-down menu, but will have access to all subsequent zones associated to the center selection (ex: center-selection is 2nd floor, but the 2nd floor has 2 zones, north and south. This user will have access to the entire 2nd floor, both north and south).

Area Role - User will be added to only the specific area selected in the center drop-down (ex: this user will only be able to request services for the north side of the 2nd floor as determined by the center-selection).

Once all selections have been made, click:

Save - save new user profile, and send recipient the activation email.

Save & Close - save new user profile, send recipient the activation email, and return to the Users home page.

Back - will not save any changes, and return to the Users home page.

To EDIT an existing user:

Click on the user's line item:

Make appropriate changes, and Save.

To DEACTIVATE a user:

Click on the user's line item.

Click on the button next to Active:

Save changes.
