Change Validity – Update Visitor Invite Date & Time

A simple way to revise visit schedules while automatically updating visitor notifications and access.

The Change Validity feature allows users to easily adjust the Valid From (start) and Valid To (end) date and time of any active visitor invite. This is especially helpful when visitor schedules change and invites need to be updated without creating a new one.

The Change Validity action enables you to:

  • Modify the Valid From date and time of an existing active invite

  • Adjust the Valid To time if needed

  • Automatically notify visitors with updated visit details

  • Ensure credentials, badges, and mobile passes reflect the new validity period

Supported Invite States

You can use Change Validity for all the active invites:

For invites synced from CRE Tenant Portals, validity can only be updated from the Tenant Portal.

How It Works

1. Updating the Valid From and Valid To Times:

  • You can edit both the start and end times of an active invite through 'Change Validity' action supported on the active invites.

  • The Valid From must always be:

    • Later than the current time

    • Earlier than the Valid To

Default Users with Personal Visitor Management permissions can use the Change Validity action.

Once saved, the updated schedule is immediately reflected in:

  • Web-App Visitor Management Dashboard

  • iPad Self Check-in Kiosks - Search Results

  • Mobile Apps - Visitor Management Dashboard

2. Notifications & Credentials after Validity Change:

When the validity of an invite is updated:

Visitors Receive:

  • A revised email with updated date/time

  • An SMS with updated visit details, if SMS services enabled.

If the Visitor Is Already Checked In:

  • A revised checked-in email is sent

  • Updated badge details are included

  • Revised credential email is sent

  • Visitor wallet pass or badge automatically updates to reflect the new start and end times

  • Credential activation and deactivation automatically align with the revised validity period

Email subject lines include Revised: as a prefix for clarity

Important Note:

  • Default 'User' role users with Personal Visitor Management permissions can use the Change Validity action.

  • VertX access cards do not get updated when validity changes
