Text Message Invitations for Visitors

Providing a faster and more accessible way to communicate with visitors—especially when email is optional or visitors prefer receiving updates directly on their mobile phones.

Overview

With this feature, users can now send Visitor Invitations and Check-in notifications via text message (SMS) to registered visitors. SMS offers a simple, immediate, and mobile-friendly communication channel, ensuring visitors receive important visit details and links instantly—right on their phones.

SMS Enablement & Configuration

  • Text Message notifications can be enabled at the Visitor Management level.

  • Once enabled, customers can control SMS usage at the Visitor Type level, allowing flexibility in deciding which visitor types receive text messages.

The initial release supports two predefined (static) SMS templates. Message content is not customizable in this phase.

Supported SMS Notifications

Go to the location’s Visitor Type, and under the Notifications tab, you will find the SMS notification options.

1. Visitor Invitation SMS

  • Notifies visitors about their scheduled visit and host details.

  • Includes a direct check-in link, allowing visitors to sign in easily from the message.

2. Visitor Check-in SMS

  • Sent automatically once the visitor completes check-in.

  • Includes visit details and a link to download or add the Visitor Pass to the mobile wallet for convenient access.

Visitors who arrive and check in directly on-site (via iPad kiosk or Walk-in QR code) will also receive the Check-in SMS, provided a valid mobile number is available.

Additional Considerations (When SMS Service Is Enabled)

  • The Mobile Number field has been repositioned to the center of the Single Invite modal for better visibility and easier access.

  • Resend Invite and Resend Badge actions now also trigger the corresponding SMS notifications.

  • Once entered, the mobile number is linked to the visitor’s profile and:

    • Can be updated anytime during check-in

    • Automatically updates the visitor’s record

    • It can be duplicated

  • The Mobile Number field remains optional and can be added either:

    • During invite creation, or

    • During the check-in process

  • The Mobile Number field will also appear in:

    • Upcoming invites

    • Visitor logs

    • Exported visitor logs
