1. Overview
When a Tenant is linked to a Building, administrators can assign Building Access Groups (BAGs) in the Tenant portal to users based on the Access Template configured for that respective tenant.
An Access Template (containing a list of building AGs) can be assigned in the Tenant Portal:
Via User Groups
Directly from an individual User Profile
This article explains how Building Access can be assigned through User Groups, including access visibility, removal logic, and limitations.
For assistance with enabling the User Group feature, please reach out to the Genea Support Team.
2. Before You Begin
This article specifically covers Building Access (BAGs) behavior when assigned via User Groups.

3. Building Access Section in User Group Configuration
A new section has been introduced within User Group Configuration that allows administrators to assign Building Access to all members of the User Group.
This section works similarly to the existing Physical Access configuration.
What This Means
Building Access can now be assigned at the User Group level
All members of the group automatically inherit the configured Building Access
Any new user added to the group will automatically receive the assigned Building Access (subject to the allocation limits of the Access Group)
This enables centralized and scalable building-level access management.
4. How Access Appears in the User Profile
Building Access assigned via:
User Groups
Direct assignment
will appear under:
User Profile → Additional Access Tab
This ensures building-level access is clearly separated from tenant-level access permissions.
5. Access Assignment Methods
Building Access can be assigned in the following ways:
1. Via User Group Configuration (Building Access Section)
A dedicated Building Access section is available within User Group configuration.
Administrators can assign Building Access Groups (BAGs) directly at the User Group level.
All current members of the group automatically inherit the configured Building Access.
Access appears under User Profile → Additional Access.
Access cannot be removed from the individual user profile if assigned via User Group.
This is the recommended method for managing Building Access at scale.
2. Directly via User Profile
Building Access can also be assigned individually from the User Profile.
Access applies only to that specific user.
Access can be removed directly from the user profile.
Duplicate Assignment Restriction
If a BAG is assigned to a user via User Group configuration:
The same BAG cannot be assigned again from the User Profile level.
The system prevents duplicate assignment to ensure consistent access logic and accurate allocation tracking.
6. Access Limits on Building Access Groups
User Allocation Limit Calculation
If a Building Access Group has a defined user allocation limit:
The system calculates the limit based on the total number of users assigned that BAG, including:
Users assigned via User Group configuration
Users assigned directly via User Profile
In other words, the allocation limit considers the combined total across both assignment methods.
If the allocation limit is reached:
The BAG will not be assigned to additional users.
Admins may still add users to a User Group, but the BAG will not apply to those users once the limit is exceeded.
