If you're using the Genea Visitor Management Kiosk app and want to streamline check-ins for pre-registered guests, this guide walks you through configuration and usage.
If you're new to Genea Visitor Management and need to pair your device, see:
Once paired successfully, follow the steps below from Web app.
1. Configure the Kiosk App for Pre-Registered Check-Ins
Go to Web Application â Visitor Management â Devices, and select your device.
This configuration applies across all kiosk devices â at the location. Admins cannot apply exceptions per device.
Under Visitor Check-In on Kiosk, toggle the option ON to allow pre-registered guests to check in.
If disabled, the device will only support only walk-in registrations.
2. Choose a Check-In Option
Once enabled, Genea supports three check-in methods,
# | Configuration Option & Usage | Kiosk View |
1 | Search Check-in â Visitors search their name or email address to find their invitation and check in.
2 | QR Code â Visitors use a sign-in QR code from their invitation email for secure, contactless check-in.
3 | Hybrid â Visitors can check in using either a QR code or by searching their name/email. |
The kiosk always supports walk-in check-in in addition to the above methods.
For this article, weâll use the Hybrid option as an example in screenshots and steps.
Quick Guide for Checking In Pre-Registered Guests on Kiosk
Please make sure your device is running the latest app version. Once paired, follow these steps on the device:
Tap "Check in on Kiosk": Depending on your configuration, the device will display the available check-in options. In Hybrid Mode, both Search and QR Code options are visible; if only one option is enabled in the web app, visitors see only that option.
Walk-in registration always remains active, even if Self Check-in is disabled in the web app.
Check-In via Search
Enter the name or email used during invitation, then tap Search.
The system displays matching invitations for the current day only (email addresses are masked for privacy).
If the guest can't find their record, they can tap Cancel, or Switch to Walk-In Check-In.
Once the correct invitation is selected, the guest completes any required forms (NDA, questionnaire, photo). If a printer is connected, a badge prints automatically. The visitor's status updates to Arrived, and the host is notified by email.
Check-In via QR Code
This functionality is not available to customers using the VertX platform.
Admins must ensure the "Check-in QR Code" field is included in the invitation email template.
The QR code may not appear in the email if self check-in settings are disabled or limited to search-only.
Tap the QR Code option on the device â this activates the front camera for scanning.
The guest scans the QR code from their invitation email. If valid, the app retrieves the visitor's details and shows a preview screen.
The visitor completes check-in as outlined in the Search method above.
Admins must ensure the "Check-in QR Code" field is included in the invitation email template. For more details on customizing email templates, please refer to this article.
By using both check-in methods, visitors at a tenant's kiosk can complete a unified questionnaire that merges forms from the CRE portal and synced tenant portals.
If an invite is created more than 48 hours before the scheduled visit, the QR code will not appear in the initial invitation email. The Genea app sends a second invitation email when the 48-hour check-in window begins. This second email will include the QR code required for check-in
