How to Enable Pre-Registered Guest Check-In on the Visitor Management iPad App

Allowing pre-registered guests to independently search for their registration details and complete the check-in process using the iPad app.

If you're using the Genea Visitor Management iPad app and want to streamline check-ins for pre-registered guests, this guide will walk you through the necessary configuration and usage steps.


If you're new to the Genea Visitor Management iPad app and need instructions on how to pair it with the Genea Visitor Management system, please refer to this article. Once paired successfully, follow the steps below from Web app.

1. Configure the iPad App for Pre-Registered Check-Ins

Genea allows you to customize the visitor check-in options displayed on the iPad app.

To enable check-in for pre-registered guests:

  • Go to Web ApplicationVisitor ManagementDevicesiPad.

  • Under Visitor Check-In on iPad Kiosk, toggle the option ON to allow pre-registered guests to check in.

  • If disabled, the iPad will only support walk-in registrations.

This configuration applies across all iPads at the location. Admins cannot apply exceptions per device.

2. Choose a Check-In Option

Once enabled, Genea supports three types of check-in methods:

Visitors search their name or email address to find the invitations and check-in.

Visitors use a sign-in QR code provided in the invitation email for secure & contact-less check-in.

Hybrid
Allows visitors to check-in using either a QR code or by searching their name or email address.

The iPad kiosk always supports walk-in check-in in addition to the above methods. Refer to this article for more info.

For this article, we’ll use the Hybrid option as an example in screenshots and steps.


Quick Guide for Checking In Pre-Registered Guests on iPad

Please make sure your iPad app is upgraded to latest version 4.2.1 or above.

Once the iPad is successfully paired, follow these steps in the iPad app for visitor check-in:

Tap 'Check in on Kiosk':

Depending on your configuration, the iPad will display the available check-in options.

For example, in Hybrid Mode, both 'Search' and 'QR Code' options will be visible. If only one of these options has been enabled in the web app, visitors will see only that specific option.

Walk-in registration will always remain active, even if the 'Self Check-in' feature is disabled in the web app.

1. Check-In via Search

  • Enter the name or email address used during invitation.

  • Tap Search.

  • The system will display matching invitations for the current day only.

In the search result, email addresses are masked for privacy.

If the guest cannot find their record, they can:

  • Tap Cancel, or

  • Tap Switch to Walk-In Check-In to proceed without selecting a pre-registration.

Complete the Check-In Questionnaires

Once the correct invitation is selected:

  • The guest will complete any required forms (e.g., NDA, questionnaire, photo).

  • If a printer is connected, a badge will be printed.

  • The visitor’s status will update to "Arrived", and the host will be notified by email notification.

2. Check-In via QR Code

This method uses a secure QR code included in the invitation email. Please note that this functionality is not available to customers using the VertX platform.

  • Admins must ensure the "Check-in QR Code" field is included in the invitation email template. For more details on customizing email templates, please refer to this article.

  • The Check-in QR Code may not appear in the email notification if iPad self check-in settings are disabled or limited to search-based check-in only.

For Secure, contactless check-in using QR code:

  1. Tap the QR Code option on the iPad.

  2. The iPad will activate the front camera for scanning.

  3. The guest scans the QR code from their invitation email.

  4. If valid, the app will retrieve the visitor’s details and display a preview screen.

  5. The visitor completes the check-in as outlined in the Search method.

If an invite is created more than 48 hours before the scheduled visit, the QR code will not appear in the initial invitation email. The Genea app sends a second invitation email when the 48-hour check-in window begins. This second email will include the QR code required for check-in

By using both of the above-mentioned check-in functionalities, visitors at the tenant's iPad kiosk can complete a unified questionnaire that merges forms from the CRE portal and the synced tenant portals.
