Genea Visitor Management allows administrators to define user roles that restrict access to data specific to each user's own visitors, without access to others' data.

Administrators can later adjust these permissions based on resource access, potentially expanding user access to all visitor data.

If you're a Global Admin, navigate to Global Overview -> User Management -> Custom Role and review any Standard or Custom User Role.

The Genea app offers "Personal Visitor Management" as a resource in Custom role, initially enabled by default with full access. This means users granted access to this resource can invite and manage data related to visitors they host.

Every role will automatically have access to Visitor Management if it has been enabled for their location. Similarly, users can access Visitor Management through the mobile application in the same manner.

Now, default User role users can log in to the Genea Web app to access Visitor Management functionalities and invite visitors as hosts themselves, managing their own visitors through the platform.

Simultaneously, ensure that Visitor Log Management permissions are turned off, as they govern access to visitor data across the location for any user. If you wish to grant access to visitor data across the location in Read Only or Full Access mode, you can assign the appropriate resource access accordingly.

Visitor Management Web App

Hosts can log in to the Visitor Management Web App using their username and password. Upon logging in, they will see the default Visitor Management application directly on their dashboard.

Functionality

Location Name

Hosts select the site where they want to invite visitors. All visitor types, access control parameters, and data are specific to the selected site.

Mobile App banner

Information about the Genea Mobile App. Hosts can close or remove the banner if they prefer not to see it.

Product Updates

An external page to view updates on features released by Genea.

Upcoming Invites

Displays details of invitations sent by the Host for upcoming visits, including their statuses.

Visitor Address-book

Shows profiles of visitors invited by the Host, including current and past visitors.

Visitor Logs

Allows Hosts to view logs of visitors, including check-in and check-out timestamps, responses, signed NDAs, etc.

In the context of the permissions set by the Administrator in the Custom Role, visitors can only manage visitors they have personally invited. Therefore, when sending invitations or viewing visitor data, only the currently logged-in user can be selected as the host. This rule applies similarly to group invitations.

Users who are restricted to managing only their own visitors may encounter limitations in certain functionalities, such as assigning physical cards or changing invitation validity. These restrictions are due to the lack of appropriate resource permissions. Once the necessary resource permissions are granted, these users will gain access to these functions accordingly.
